Database Assistant

Tasks

Major Duties:

  • Maintain database integrity, particularly with new people records
  • Assist in the TouchPoint portion of training/onboarding of new staff
  • Assist the Software Administrator in providing ongoing TouchPoint support to staff in the form of troubleshooting and technical advice

Specific Tasks:  

  • Following up every New Person Task that is generated when the staff creates a new people record
  • Running a daily/weekly search for records that are added during check-in or an online registration and performing the same tasks for those records as for ones created by staff members
  • Vetting the new records by searching for duplicates or possible family members; making certain that the data is in the correct format, and then updating the status
  • Reviewing the Duplicate Find Results and performing the first part of the merge, sending the links to the Software Administrator who will perform the final part of the process to completely merge the records and delete the duplicate
  • Answering calls from church members and staff regarding TouchPoint, forwarding any needs to the Software Administrator
  • Being available to help answer questions regarding TouchPoint from staff and laity
  • Making changes of address or of family member status when notified
  • Monitoring the emails that alert the Assistant and the Administrator to changes made by MyData users and then making any necessary corrections

Requirements

Education Required:

High School Diploma

Specific Experience Required:  

Minimum of 2 years work in an office support or teaching environment.

Specific Skills Required:

Must be detail-oriented and committed to accuracy.

Must be proficient using MS Outlook, Excel, and Word

Must be able to quickly learn new processes and naturally be a critical and logical thinker.

Must be able to read and follow TouchPoint documentation and become increasingly familiar with its scope.

Physical Abilities:  

Must be able to sit at a computer & enter data for several hours a day, viewing a monitor for long periods of time. While performing the duties of this job the employee is regularly required to use hands to finger, handle, or feel; reach with hands and arms and talk or hear.  Employee must regularly lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
