Media Coordinator

Tasks

Major Duties:

  • Process Media financials
  • Maintain vendor contracts
  • Facilitate promotional orders
  • Assist with procurement
  • Point of contact for special events as assigned
  • Other duties as assigned

Specific Tasks:

- Invoices, billing, credit card statements

- Print shop monthly billing transfers

- Generate budget reports and assist in budget research

- Provide executive summary of contracts (what we get, users, expense, timeframe)

- Examples:

  • Pitney Bowes lease
  • Adobe Creative
  • Getty Images
  • Lightstock
  • Zoom
  • Webflow

- Schedule and follow up on agreement renewals

- Quote and order promo material

- Assist with print vendors as assigned

- Coordinate special event details as assigned

  • Media liaison for event logistics for large multi-discipline events
  • Review riders and assist with concert support and communication
  • Media point of contact for event attendees and sponsors

Requirements

Education Required:

Bachelor’s degree in Communications or equivalent degree, or 3-5 years of experience in a related field.

Certificate/License Required:  

None

Specific Experience Required:  

  • Experience processing financials and reconciling accounts
  • Experience in Office 365 apps with calendaring, word processing, spreadsheets, file sharing, and communication
  • Experience with office administration and assistance

  • Ability to organize and manage multiple priorities
  • Excellent grammar and spelling
  • Efficient typist
  • Ability to proof quickly
  • Works well with others and able to collaborate effectively
  • Excellent communication skills
  • Ability to manage multiple schedules and calendars

While performing the duties of this job, the employee is regularly required to use hands to handle, or feel; reach with hands and arms and talk or hear. The employee is frequently required to sit. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl.  Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus. Must be able to lift up to 50 pounds.

Working Conditions (Temp./Inside/Outside/Height/Damp.):  

Mostly standard office conditions, however, will vary with each day, as shoots may often take place outside, and conditions will flex as the season and weather dictate. Work will involve moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
