Major Duties:

  • Local Missions Administrative Duties
    • Process Confidential Volunteer Applications.
    • Answer incoming calls.
    • Schedule appointments/meetings.
    • Calendar local missions events.
    • Prepare check requests and purchase orders.
    • Initiate orders for supplies, materials, equipment, and services when necessary.
    • Maintain local missions budgets (in-office bookkeeping).
  • Bellevue Loves Memphis Workdays and Major Events
    • Prepare online registrations for service projects.
    • Order supplies needed for ministry events and programming.
    • Maintain recordkeeping of volunteers and project information.
    • Prepare purchase orders for ministry projects.
  • Legacy Thrift
    • Assist with intake of information for donation requests.
    • Prepare contribution letters for donors.
    • Coordinate and schedule thrift store pickups in collaboration with volunteers.
  • Disaster Relief
    • Help prepare mobilization of teams when called for a disaster.
    • Maintain paperwork for certifications.
    • Send out recruitment emails for Disaster Relief callouts.
    • Prepare registration for Disaster Relief teams.

Specific Tasks:

  • Daily: Answer phone calls and emails, and direct to appropriate ministry. Assist the Local Missions Minister with administrative responsibilities.
  • Regularly: Process receipts and invoices, and maintain ministry budget. Communicate to volunteers concerning various ministry activities.

Supervised By:

  • Minister, Local Missions
  • Receive tasks from Minister, International/National Missions, and Director, Local Missions.

Co-Workers:

  • Share an open office directly with receptionist; however, there are offices for ministers, directors, and ministerial assistants.

Days/Hours:

  • Monday–Friday; 40 hours
  • Additional hours when requested by supervisor or for projects related to Bellevue Loves Memphis

Requirements

Education Required:

  • Education equivalent to completion of 12th grade
  • Minimum of 2 years experience in general office practices; computer proficiency
  • Some secretarial training or college

Certificate/License Required: N/A

Specific Experience Required:

  • The ability to meet and work effectively with the public
  • Knowledge of office procedures
  • Secretarial and bookkeeping experience
  • Proficiency in Microsoft Office programs (Outlook, Word, Excel, PowerPoint, Teams)

Specific Skills Required:

  • Have an attitude of being involved in ministry, not merely providing secretarial services.
  • Demonstrate a high level of trust and confidentiality.
  • Display the ability to communicate well, both verbally and written.
  • Create an environment that is inviting to people passing through on a daily basis.

  • Develop procedures for handling complaints and problems.
  • Develop procedures for handling visitors during office hours.

  • Perform secretarial and clerical duties with speed and accuracy without immediate or constant supervision.

  • Have a proficiency in Microsoft Office programs (Outlook, Word, Excel, PowerPoint, Teams).
